We’re looking for a highly organized, proactive Executive Assistant to work closely with the owner of We Know Boise, a respected real estate business serving the Boise area.
This role plays an important part in keeping the business running smoothly behind the scenes while helping build systems that will support future team growth. The right person will become a trusted partner in helping keep the business organized, efficient, and moving forward.
This position is ideal for someone who enjoys creating order, managing details, and keeping operations running smoothly. You’ll help coordinate systems, client communication, marketing support, and day-to-day operations so the business owner can stay focused on clients and growth.
This role is best suited for someone with prior experience supporting a business owner or small team who enjoys taking ownership of systems, organization, and operational details.
This is not a basic administrative role. The right candidate will gradually take on increasing responsibility, managing projects independently and improving systems over time while helping maintain a high level of service for clients.
This position offers long-term stability and the potential to grow into an Operations Manager or Director of Operations role as the business expands.
Your Role in the Business
Business Operations & Systems:
- Maintain CRM database and client records.
- Track transactions and important contract deadlines.
- Maintain organized digital files and business systems.
- Document and improve internal workflows and checklists.
- Coordinate listing preparation (vendors, photography, staging, etc.).
Client Experience:
- Ensure smooth communication with clients throughout transactions.
- Assist with collecting 5-star client reviews.
- Help plan and execute quarterly client appreciation events.
Marketing & Communication:
- Prepare and send the monthly client newsletter.
- Pull monthly real estate market statistics for reporting.
- Manage light social media posting (Facebook and Instagram).
- Coordinate marketing materials such as signage and business cards.
Executive Support:
- Manage the owner’s email inbox and communication flow.
- Coordinate calendar scheduling and appointments.
- Monitor incoming calls and messages and ensure timely responses.

- Comfortable working in a detail-focused environment.
